Use these questions to prepare for a conversation with your hospital. Requirements depend on your case and the receiving team.

Medical records: what to organize
  • Prepare a short case summary: the reason for consultation, key dates, existing diagnoses as recorded by your clinician, previous care and your main questions.
  • Collect the records you already have, such as consultation notes, discharge summaries, laboratory results and imaging reports. Ask the hospital whether original imaging files are also needed.
  • Include a current medication and allergy list prepared with your clinician. Confirm whether translations must be certified before paying for translation.
  • Label each file with its document type and date. Keep the originals unchanged, and send identity documents only when the receiving hospital confirms they are required.

Costs: questions for an itemized estimate
  • Which consultation, tests, hospital stay, medicines and professional fees are included? Which items will be decided only after assessment?
  • Are interpretation, translation, transport, accommodation and companion expenses separate? Who provides and invoices each service?
  • What currency is used, how long is the estimate valid, and what deposit is required? Ask for cancellation and refund conditions in writing.
  • If the care plan changes, who explains and approves the revised estimate? Keep copies of the agreed estimate and receipts; an estimate is not a fixed final bill.

Appointment: details to confirm before travel
  • Confirm the hospital’s full name, campus address, department, clinician and appointment time. Similar hospital names may refer to different campuses.
  • Ask whether the booking is a consultation only or includes any confirmed admission arrangements. Request a named hospital contact.
  • Confirm which records and identification to bring, and ask the clinical team for any appointment-specific preparation instructions.
  • Arrange language support and accessibility assistance in advance if needed. Reconfirm appointments if travel dates change.

Returning home: records and follow-up
